Privacy Policy

This policy explains what information United Federal Freight LLC ("we," "us") collects through this website, why we collect it, how we use it, and the choices you have. We collect only what we need to respond to you and provide transportation services.

Information we collect

  • Quote and contact forms. Name, company, email, phone, shipment origin and destination, freight details, service requirements, and any notes you provide.
  • Phone and email. Information you share when you call or email us.
  • Shipment tracking. When we transport your freight, we create shipment records containing pickup and delivery contact and address information, freight description, and a status timeline. A tracking or reference number lets you look up that shipment's status without creating an account.
  • Proof of delivery. When applicable, the recipient's name, a signature, and delivery photos, captured at the time of delivery.
  • Driver and staff accounts. For personnel who use our internal dispatch and driver tools: name, email, phone, a securely hashed password, and, if they choose to enable it, two-factor authentication (an encrypted authenticator secret and one-way-hashed backup recovery codes — never a plain-text copy either could be read back from).
  • Technical data. Standard server logs (IP address, browser type, pages requested, timestamps) used for security and to operate the site.

Why we collect it

  • To respond to quote requests and messages
  • To plan, perform, and document transportation services you request
  • To provide shipment status updates and proof of delivery
  • To protect the website, tracking system, and staff accounts against abuse (for example, rate limiting, and requiring a second sign-in factor for dispatch/admin accounts that enable it)
  • To comply with legal and regulatory obligations applicable to motor carriers

Location information

Our driver application may request a driver's device location, with the driver's explicit permission, at the moment they record a status update or delivery — for example, to note where a shipment was marked out for delivery. This is event-based, not continuous: we do not track a driver's location in the background or between updates, and a driver chooses whether to attach location to a given update. Precise coordinates are visible only to dispatch/admin staff who need them for operational purposes and are never shown on the public tracking page; a customer checking shipment status sees only a general area (for example, a city and state) when we have one to show.

How we use and share it

We use your information to communicate with you and to perform the services you request. We may share shipment details with partner carriers when a shipment moves on partner equipment, and with service providers who help us operate this website and deliver email (for example, our hosting and transactional email providers). The public tracking page shows only a sanitized view of a shipment — status, an approximate area, and a delivery confirmation when applicable — never internal notes, exact addresses, phone numbers, pricing, precise driver location, or information about other shipments. We do not sell quote-form information or personal information.

Retention

Quote and contact submissions are retained as long as needed to respond and to maintain business records for shipments performed. Shipment documentation (bills of lading, proof of delivery, delivery photos, tracking event history) is retained for carrier record-keeping and claims handling. Server logs are retained for a limited period for security purposes. We are finalizing a formal data retention schedule covering how long shipment, tracking, and driver-account data is kept and when it is deleted; this policy will be updated with specific retention periods once that schedule is set. Until then, we retain this information only as long as reasonably needed for the purposes above.

Cookies and analytics

This website uses only cookies that are necessary for it to function — including a session cookie for signed-in dispatch/driver accounts, which is HttpOnly, transmitted only over HTTPS, and not readable by page scripts. If we add analytics in the future, we will use privacy-respecting configuration, update this policy, and add consent controls where legally required. We do not send exact location data or form contents to analytics providers.

Security

The site is served over HTTPS, form submissions are validated on the server, and access to submitted information is limited to personnel who need it to respond to you or perform the service. Our internal dispatch and driver tools sit behind authenticated accounts with role-based access (a driver can reach only shipments assigned to them or ones they scan directly), optional two-factor authentication, and an internal audit log of account and shipment actions. Delivery photos and signatures are stored privately and served only to authorized, signed-in staff — never at a public, guessable address.

Your choices

Children

This website is intended for businesses and adults and is not directed to children under 13. We do not knowingly collect information from children.

Changes

We may update this policy as our services and the site evolve. The date at the top reflects the most recent revision.
